Purchasing Officer

The Purchasing Officer is responsible for ensuring the efficient, timely, and cost-effective procurement of all food, beverage, general supplies, and operating equipment required by TFS. This role supports daily operations by working closely with department heads, vendors, and management to maintain optimal inventory
levels, secure competitive pricing, and uphold established quality standards. The Purchasing Officer also contributes to continuous improvement by participating in
relevant training programs, enhancing procurement procedures, and fostering strong and positive relationships with suppliers to support TFS’s overall
operational effectiveness.
PRIMARY RESPONSIBILITIES
- Support and coordinate purchasing activities for food, beverage, general supplies, and operating equipment to ensure efficiency and cost-effectiveness.
- Work closely with the Chef to prepare purchase specifications and maintain product quality standards.
- Maintain strong relationships with vendors and monitor quality control systems to ensure compliance with hygiene and quality standards.
- Report price changes, cost updates, and relevant supplier information to the Purchasing Manager and Chef.
- Manage purchase requests to secure competitive pricing, ensure timely procurement, and verify that payment processes are completed accurately.
- Update the Departmental Operations Module to maintain accurate and up-to-date procurement records.
- Coordinate with the Chef in developing food recipes in collaboration with academic courses to support teaching activities and effective cost control.
- Source qualified vendors and negotiate the best possible prices for TFS to ensure optimal purchasing value.
- Regularly update and maintain the Supplier Database to ensure accurate and reliable vendor information.
- Oversee and monitor the end-to-end purchasing process, from receiving purchase requests to the final delivery of goods.
FINANCIAL
- Minimize TFS expenses through effective purchasing practices and obtaining competitive prices.
- Interact with suppliers to secure the best products at competitive prices.
- Prepare reports and costings as required by the Purchasing manager.
- Implement operating and control procedures to ensure proper accounting of goods movement.
ADMINISTRATION
- Maintain department records and forms according to TFS policies and procedures.
- Ensure timely and accurate data entry into computer systems.
- Establish an efficient vendor/general filing system.
- Keep management updated on new products and maintain supplier records.
PERSONNEL & TRAINING
- Ensure discipline and punctuality within the department.
- Attend the effective skills training programs.
- Engage in continuous learning through personal development initiatives.
OTHERS
- Report to the Purchasing Manager for day-to-day operations.
- Respond to changes as dictated by TFS .
- Maintain effective communication with all TFS departments.
- Foster positive working relationships with colleagues and other departments.
- Attend all department meeting and carry out duties as assigned.
- Perform any other duties as assigned by superiors.

JOB REQUIREMENT
- Minimum education of bachelor’s degree in business administration or relevant discipline.
- Thorough purchasing experience at least 1 year.
- Possess ability to deal and negotiate with vendors effectively.
- Have good English communication skills both in written and spoken.
- Computer literate program MS Word, MS Excel, ERP (SAP , Oneplanet).
- Possess professional disposition with excellent communication and interpersonal skills.
